Every year, in the second week of November, I get a run of calls that all start the same way: "I know this is late, but…"
It is not that those events cannot be entertained. It is that by November the choice has narrowed to whoever happens to still be free, which is a completely different exercise from choosing who is right for your room.

Which dates go first, in order
Not all December dates are equal. In Vancouver the order is reliably:
- The second Saturday in December. The single most contested date of the year.
- The Friday before Christmas. Close second.
- Every other December Friday and Saturday.
- Mid-December Thursdays. The overflow date, and increasingly popular.
- Early December weeknights. Genuine availability well into the autumn.
- The first week of December and late November. Quietly the best value, and the rooms are just as good.
If you are flexible on date, that list is worth more to you than any negotiation. Moving a party from the second Saturday to a Thursday two weeks earlier changes what is available to you enormously.
The timeline
March to May — the early bookers. Mostly large companies, and events with a venue already locked. If you are planning something over two hundred people or you need a specific date, this is when to move. Nothing is scarce yet; you are buying certainty.
June to August — the right window for most companies. This is when I would tell a friend to book. The peak dates are still open, you can talk to several performers properly, and nobody is negotiating under pressure. Most well-run December parties I do were booked in this window.
September — the real deadline for peak dates. By the end of September, the second Saturday and the Friday before Christmas are largely gone across the good vendors. Not just entertainment — venues, caterers and photographers too. If you want a peak date, September is the last month where you are choosing rather than searching.
October — narrowing fast. Weekdays and early December are still very workable. Peak Fridays and Saturdays are mostly a matter of luck and cancellations.
November — the apology calls. Options exist, but they are whoever is left rather than whoever is right. This is also when quality risk goes up, because the people still free in November on a peak date are sometimes free for a reason.
December — occasionally possible. Cancellations happen and I have filled dates in the same week. But you are hoping rather than planning.

The rule that makes this simple
Book entertainment the same week you sign the venue.
That is it. Not after the caterer, not after the invitations, not once the budget is confirmed to the dollar. The same week.
The reason is that venues and entertainment are competing for the identical set of dates. If your venue was available on the second Saturday, that tells you something about how contested the date is — and every good performer in the city is looking at that same square on the calendar.
Most companies book the venue in June and think about entertainment in October, then discover their date was the popular one all along.
What to do if it is already November
Not a lost cause. In rough order of usefulness:
1. Ask about the date, not the person. Instead of "are you available December 13," ask "what December dates do you still have." You may find the 11th works for your team just as well.
2. Ask for a referral, and take it seriously. Any full-time professional keeps a short list of people they would put their own name behind. That referral is worth far more than the fourth name on a search results page, because nobody sends a client to someone who will embarrass them.
3. Consider a weekday. Companies are increasingly moving to Thursdays and finding they prefer them. Better venue availability, better vendor availability, and people are less exhausted than they are after a full December Friday.
4. Consider January. Genuinely worth thinking about. A new-year party has no competition for dates, better pricing across every vendor, and people arrive rested rather than at the end of the worst month of their year. Several companies I work with moved for scheduling reasons and never moved back.
5. Book what is available now rather than the perfect option in two weeks. In November, deliberating for a fortnight is how a maybe becomes a no.

A note on December pricing
Prices in Vancouver are higher for December peak dates, across every vendor category, and it is worth understanding why rather than assuming it is opportunism.
A performer can work one event on the second Saturday in December. That single date carries the demand of an entire season, it cannot be moved, and turning it down means turning down the whole night. That is what the premium reflects.
It also means the flexibility conversation is real: an early-December weeknight is a genuinely different proposition from the second Saturday, and it is worth asking.
